Transportation services company based in Inwood, (Queens/Long Island Border) seeks a administrative assistant for their Purchasing Dept. on a full time contract role. This position is 100% in office and will require weekend work. The shift is a day shift with varying hours to be determined. There will be a 40 hour work week with the opportunity for overtime.
Job Description:
Scanning and uploading documents into system.
Prepare, monitor approvals, submit, and expedite purchase orders.
Review and replenish inventory of uniforms, PPE, pantry items, and operational supplies.
Schedule deliveries for stock items.
Collaborate with suppliers on the delivery of key products.
Ensure receiving transactions are recorded in soft systems promptly.
Research, track, and resolve accounting problems.
Continuously monitor the status of vendor accounts.Maintain accurate and easily accessible files.
Respond to client emails and phone calls
Data EntryUse Excel to keep track of accounts/supplies
Use Outlook to communicate with customers/team members and maintain calendars.
Use Microsoft Word to edit templates sent out to customers.
Provide advice on scheduling, inventory planning, and control, based on data analysis.
Perform specialized administrative support functions.
Qualifications:
Strong documentation skills.
Strong customer service experience.
Proficient in Microsoft Word, Outlook and Excel.
Experience working in warehouse environment (fast paced)
3 years experience in administrative capacity in warehouse setting.
