We are currently looking for a motivated Secretary

MUST be willing to commute to Holbrook, NY. Candidates with a commute greater than 45min need not apply

Hours: Monday - Friday 9:00 am to 4:00 pm, Market Holidays Off


As a sales assistant, you will provide clerical support to multiple salespeople. You will be operating computers, so knowledge of technology, WPM, and basic office machinery knowledge is a must!

Opening and closing accounts
Processing UPS shipments of paperwork to clients
Sending over any account paperwork to keep clients in compliance
Sending out bills, confirms, tax information to clients.
Heavy phone volume in and out, calling clients and following up with documents due
Discretion between the high traffic in the office and confidentiality of information
Filing and keeping correspondence copies in company records
As a secretary, you will be in charge of all Administrative tasks around the office and directly assist the Owner of the Branch. You will be in charge of the office supplies, office bills, appointments for meetings with other companies, keeping very meticulous records of the client's documents.

Handling the company calendar
Answering and directing phone calls
Hiring and setting interviews for new brokers
Order office supplies
Produce regularly scheduled reports at the end of the week; earnings, bills, etc.
Take dictation with a 40WPM
Handle multiple projects
Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
Write letters and emails on behalf of other office staff



Proven admin or assistant experience
Knowledge of office management systems and procedures
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficient in MS Office
High school diploma or equivalent; college degree preferred
